Kirei Clean is the data controller for the personal information described in this notice. We provide household, office and gym cleaning services in Buckinghamshire and London.

2. Information we collect
- Identity and contact details, such as your name, phone number and email address.
- Enquiry and service details, such as the type and condition of the space, postcode, preferred schedule, products, equipment, waste arrangements and areas needing attention.
- Booking and site details after you decide to proceed, which may include an address, access arrangements, parking information, pets, allergies or relevant safety information.
- Communications and service records, including calls, email, WhatsApp messages, quotes, appointments, invoices and feedback.
- Limited technical and usage information if you consent to analytics cookies.
Please do not put alarm codes, key-safe codes or other sensitive access credentials into our public estimate form. We request them separately only when necessary for a confirmed service.
3. Why we use it and our lawful bases

4. Who receives your information?
We share only what is necessary with authorised Kirei Clean staff or cleaners assigned to your enquiry or service. We also use service providers that host or support our website and secure business systems, currently including Netlify, Vercel and Supabase. If you accept analytics, limited website-use data is processed through Google Analytics.
Some providers may process information outside the UK. Where this happens, we require an appropriate legal transfer mechanism and contractual safeguards. We do not sell your personal information.
5. How long we keep it
- Unsuccessful or unconverted enquiries: normally up to 12 months after the last meaningful contact.
- Customer, contract, invoice and payment records: normally six years after the end of the relevant financial year or relationship, where needed for tax, accounting or legal purposes.
- Operational notes and access information: reviewed when a service ends and deleted or anonymised when no longer required.
- Website analytics: according to the retention period configured in our analytics account, and only where consent was given.
We may keep information longer if a complaint, dispute, safeguarding issue or legal requirement makes that necessary.
6. Security
We use access controls, encrypted connections, server-side credentials and restricted staff access. Public website submissions are passed from our website server to our private Command Centre; the connection secret is not placed in browser code. No internet service can promise absolute security, so we review our controls and collect only what we need.
7. Cookies and analytics
Essential storage remembers your privacy choice. Google Analytics and the live third-party reviews widget are not loaded unless you select “Accept analytics”. You may choose “Essential only” and still use the estimate journey.
8. Your rights
Depending on the circumstances, you may ask us for access to your information, correction, deletion, restriction, portability, or object to certain uses. Where we rely on consent, you can withdraw it at any time. We may need to verify your identity before responding.
If you are unhappy with our response, you can complain to the UK Information Commissioner’s Office at ico.org.uk. We would appreciate the opportunity to resolve the concern with you first.
